Sensitive Patient Mail Group Recipients - by Division?

Here in the WV DHHR, we are sort of unique in our Divisional set-up, in that we are "multi-partitioned".  There are eight separate facilities spread out across the State.  Most of the time,  this works just fine, but every now and then, depending on the situation, it can be a bit of a hassle!

Case in point... as you know, Medical Records Administrators or Supervisors can be set up to receive MailMan messages whenever someone accesses an electronic health record that has been marked sensitive.  They have to be a member of the DG ISO SENSITIVE RCDS Mail Group.  But in our scenario, the problem is that each MR Supervisor receives thousands of messages each day for ALL EIGHT FACILITIES!!!  This makes it rather cumbersome to follow-up on improper access to a sensitive record.

The description of this Mail Group is, "This mailgroup is used by the DG Sensitive RCDS RPT-format and DG Sensitive RCDS rpt-task options."

Can this feature be set-up by Division, so that each MR Supervisor receives messages on ONLY the patients in their facility?  I wish I had a better understanding of how the Security Officer options work - how do they get the message that someone has accessed a sensitive patient to that particular Mail Group name, which then sends the message on to the members of that group?  Is it hard-coded in the program itself?

Thank you in advance for any assistance.

Hartsel,

I have looked at this briefly tonight and it appears to me that there are no parameters to change this behavior by division.

I do not see any settings that could be changed to accomplish what you are wanting.

It looks like it is hard coded to function for the entire system.
